ROLE OVERVIEW

We are hiring a Recruiting Coordinator to be the operational backbone of our Talent Acquisition team. You will work closely with our two recruiters and the Head of People to keep our hiring engine running smoothly — managing schedules, owning the candidate experience, maintaining our ATS, and helping us build and source strong pipelines.

This is a role with real ownership from day one. You will own Ashby, our ATS, and be the person who keeps our recruiting operations clean, consistent, and scalable.

WHAT YOU WILL OWN

RECRUITING OPERATIONS AND COORDINATION

- Support a team of 2 recruiters in the full recruiting lifecycle.

- Manage end to end hiring for assigned requisitions, including coordination, scheduling, and candidate communication.

- Serve as a primary point of contact for candidates, delivering a thoughtful, responsive, and consistent experience.

- Ensure a consistent and engaging candidate experience across all touchpoints.

- Review resumes and applications to identify strong matches aligned with role requirements and company values.

- Conduct initial candidate outreach and sourcing across multiple channels to build diverse, high-quality pipelines.

- Review applications and surface strong matches to recruiters based on role requirements and company values.

- Collaborate with the People team to develop and own employer branding initiatives.

SYSTEMS, TOOLS, AND DOCUMENTATION

- Own day to day management of the ATS, Ashby, ensuring accuracy, compliance, and up to date documentation.

- Build and maintain workflows, templates, and processes that make the recruiting function more consistent and scalable.

- Leverage AI tools to improve recruiting and People Ops workflows, automate repetitive tasks, and find smarter ways to get things done.

- Help craft, edit, and post job descriptions across relevant platforms.

- Plan and execute culture programs and events, including company offsites, team events, and employee recognition initiatives.

- Support internal communications that keep employees informed, connected, and engaged.

- Help design and deliver an onboarding experience that sets the right cultural tone from day one and helps new hires feel welcomed and set up for success.

- Support onboarding and offboarding processes to ensure a smooth and consistent employee experience.

WHAT WE’RE LOOKING FOR

- 4+ years of experience in recruiting coordination, talent sourcing, HR, or a related People Operations role.

- High growth/startup experience is a strong preference. We're a small/fast growing team.

- Comfortable using AI tools in your day-to-day work and genuinely curious about how to apply them to improve systems and processes — not just familiar with AI, but actively uses it.

- Strong organizational skills and attention to detail — you keep things moving and nothing falls through the cracks.

- A people-first mindset with genuine enthusiasm for candidate and employee experience.

- Comfort operating in a fast-paced, ambiguous environment where priorities can shift.

- Experience with an ATS (we use Ashby) and general comfort with HR and productivity tools.

- Strong written and verbal communication skills.

- A natural culture carrier — someone who lives the values, not just talks about them.

- Collaborative by default and proactive about identifying problems before they become issues.
